What is Change Management? Definition & Principals

 

Every organization must keep moving forward, in order to remain competitive and successful. Change is necessary; however, it should be carefully thought out and executed to avoid negative consequences. This is where change management comes in (Mind Tools Content Team, n.d.).

What is change management?

Change management is an essential part of any successful business, but it can also be one of the most difficult things to get it right.

Change management is a structured way of dealing with changes in an organization's processes, goals, and technologies. It involves developing strategies to handle transition and transformation. Also controlling and guiding people through the changes to ensure they are executed correctly and reach the intended result (Lawton and Pratt, 2022).

The Four Principles of Change Management

1. Understand Change

To implement the change successfully, it is important to consider the following;

  •  What are the key objectives of the organization and the need for the change?
  •  What are the benefits to the organization?
  •  How it impacts on people Positively?
  •  How it effect on the way people work
  • What are the necessary steps that individuals must take to ensure the change is successful?
  • What are the negative outcomes of not making the decision to change?

Explaining the Change Equation

Dissatisfaction x Desirability x Practicality > Resistance to Change

Beckhard and Harris' Change Equation, shows that  a change to take place, people need to be unsatisfied with the current situation and trust that the proposed method will bring better results. They must also have a clear plan for transition (Mind Tools Content Team, n.d.).

Dissatisfaction – Successful change requires that people feel discontent with the current situation. Anything that causes discomfort or unease can be a reason to initiate change. This dissatisfaction is a crucial motivation for pushing for change.

Desirability – The proposed solution must be attractive. To get the team on board, ensure the vision is clear and précised.

Practicality – It is essential to ensure that team members believe that the proposed change is attainable and can be successfully implemented.

 

Resistance to change – Resistance to change includes people's beliefs about the limits of change. People may be resistant to change because,

-     They see it as a barrier to achieving their desired outcome

-    They feel the new system won't be compatible with their existing working style.

-     Lack of willingness to adapt to new systems due to stubbornness.

And because there's a multiplicative relationship between Dissatisfaction, Desirability and Practicality, if one element is missing, that variable will have a value of zero – meaning that this whole side of the equation will equal zero (Mind Tools Content Team, n.d.).

2. Plan Change

Creating successful changes in an organization isn't something that occurs randomly. Whatever path you choose must be suitable for your organization. How change is managed can differ from one organization to another. Some have very strict change protocols, while others are more open to different strategies. The success of a change project depends on the right approach. Therefore, it is important to evaluate the different options and decide on a suitable change management strategy for your organization (Mind Tools Content Team, n.d.).

Following to be considered when planning to change:

Sponsorship - Securing and backing important people is essential for the success of the change.

Involvement - Need to involve both within the business and outside experts to design and implement the change

Buy-in - Gaining support from people in all areas of the company is key for an effective  change.

Impact -  To determine what success should look like and how to measure the effects of  change in order to accomplish your objectives.

 3. Implement Change

Implement change must be managed effectively to ensure success. Start by assessing the current situation, determining what needs to be changed, and then create a plan to implement the change. Finally, measure the results to determine if the change was successful (Mind Tools Content Team, n.d.).

Implementing the change can be done using a variety of approaches.

Kotter's 8-Step Change Model, explains It is important to create a sense of urgency when making changes, in order to foster momentum and garner support from the team.

Meanwhile,  Change Curve  enables you to anticipate how people will respond to alterations, allowing you to assist them through their individual transitions, and ensure that they receive the necessary guidance and assistance (Mind Tools Content Team, n.d.).

The following steps can help you to implement change in a positive way:

  • To ensure that everyone is involved and supported throughout the change  process
  • Everyone understands the implications of the change.
  • Set clear goals and measure progress regularly.
  • Identify all the people who will be part of the change and determine their  involvement level.
  • Identify required trainings and appoint people to assist in the adoption of the new methods.
  • Assign "change agents" who will facilitate the adoption of new techniques, and be a role model for the new approach.

4. Communicate Change

Change management to be successful, it is essential to communicate clearly and accurately so that people understand what needs to be done and why. Additionally, the right attitude and emotions must be conveyed to ensure that the desired response is achieved. Connecting the proposed changes with the organization's overall mission and vision, can help individuals understand their impact on the organization in a positive way. This provides a shared vision of the future that everyone can be inspired (Mind Tools Content Team, n.d.).

 The ADKAR Change Management Model is a particularly useful tool that you can use to help communicate your change. It outlines five things you should address in your communications:

  • Awareness (need for change)
  • Desire (to participate and support it)
  • Knowledge (how to understand the change)
  • Ability (to change)
  • Reinforcement (sustain the change in long term)

  • Improved employee engagement 
  • Improved customer satisfaction

Overcoming the Challenges of Change Management

  • Outline the purpose of the alteration so that employees are aware of it
  • Ensure everyone is aware of the goals of the transition
  • Provide frequent and detailed communication to ensure a successful changeover.
  • Strategically plan and execute the shift - This will prevent complications and issues from occurring.
  • Be flexible and ready to adjust - As changes can be unpredictable, be ready to make alterations as needed.

 Conclusion

Change management is the process of managing and implementing organizational changes in a structured and efficient manner. It involves planning for the transition, training employees to handle the change, and monitoring progress and performance. Change management ensures successful adaptation and implementation of the new system or process. Companies must have a clear plan and vision when approaching change management. They must also invest in the right tools and resources to ensure successful implementation and execution. Organizations must be willing to embrace change and be open to new ideas and processes. Effective communication is necessary to ensure everyone is on the same page.

Organizational change isn't always predictable and can occur at any time.
